Adding a new medication charge
Adding New Medication Charges: A Quick Reference Guide
1. Adding a Medication into Dialysis Manager
Here are the steps to create a new medication order from Dialysis Manager to Billing Manager. First, in Dialysis Manager, go to Admin Options, then Masters. Next, click Meds from the list box on the left side of the screen. Check the existing list of medications before creating a new one. If your medication is already available, skip to Updating Billing Setup in Dialysis Manager. If no existing medication is a match, enter the medication name in Trade Name. Select the Route and Unit that is applicable for administration of the medication. In the Charges dropdown, select the applicable option: Not Billable, Billable through ML, or Billable through Vial.

2. Adding a Medication into Dialysis Manager (Continued)
Now, select the Category of the medication in the list of checkboxes. Multiple selections can be made. By selecting Allergy, this medication will become available to choose as a patient's allergy. By selecting Other Dialysis Meds, the medication will be available for nurses ordering medications given while on dialysis. Click Save. Click Item Mapping to associate the medication to a specific facility. Select the medication from the Item Name dropdown, then click View. Select the facility or facilities that the medication should be visible for, and click Save.

3. Setting Up the Dose Detail Master
Here's how to set up the Dose Detail Master. Use this area to create vial sizes for any medications or immunizations, as well as associating NDCs. Click the Dose Detail Master under the medication that was just created in the Master, or go to Admin Options, Masters, Utilities, then Meds Dose Detail Master. Check the list at the bottom of the screen before creating a new entry. Select the medication from the Meds Name dropdown. Fill out the Vial Size Billed. Select Single Use for a single dose vial. Enter the NDC Code in a five-four-two format. The NDC Code will be found on the vial, not the box. Click Save, and repeat for each vial size as needed.

4. Updating the Billing Setup
To update the billing setup, select the Billable checkbox next to the Meds Name. Enter a unique Abbreviation and make note, as this will be used in the Charge Master. To add dose ranges or modifiers, click Special Conditions. If the special conditions option is gone, two situations can be possible: If the medication is new, the page will need to be Signed and Saved. If the medication has multiple vial sizes listed, the first medication in the list will have Special Conditions that applies to all sizes for that medication. To see more information about special conditions, view the Special Conditions section below. Click Sign and Save, located at the top right of the page.

5. Updating the Charge Master in Billing Manager
To update the Charge Master in Billing Manager, go to Master, then Charge Master. Choose your Billing Entity and Facility. Search for the medication using the Enter CPT code search bar and click Search. Fill out the required information: Charge Amount, which is how much to charge for the med; Abbr, the same abbreviation that was entered in Dialysis Manager in Billing Setup; and Favorite, to check the box to map the item. Click Update.

6. Setting Up Modifiers, Dose Ranges, and Admin Charges
In Dialysis Manager, go to Import/Export, then Export Treatment Billing. Click Billing Setup. Find your medication, then click Special Conditions. From here you can set up modifiers, dose ranges, and admin charges. For example, you can set up a Dose Range, Route and Meds Based Modifier, Modifier, Wastage Modifier, and Admin Charges.
